Senior Grants Assistant at Pakistan Transition Initiatives (PTI)
A project of International Organization.
• Update Grant Matrix on regular basis to keep track of the development and implementation of all the grants.
• Attending implementation meeting with other departments, Field team and senior management to obtain update about the grant implementation and keeping record of meeting minutes.
• Attending completed to close meeting with M&E and other departments to assist them in identifying the missing documents and support them in the closure process.
• Share Updated Copy of PTI Grant Matrix with HO and field staff for their convenience to provide further updates to HO.
• Review the weekly summary of PTI Grant Matrix prepared by grants assistant for submission to the donor.
• Review weekly summary of completed grants shared with grants writers for reporting purposes.
• Liaise closely with database coordinator in all grant tracking related tasks.
• Extracting reports from the web based database and employs it for reporting requirements and project tracking for both internal and external audiences.
• Produce reports and run queries on the program web based database as requested by the Program Manager, Grants Manager & Deputy Program manager or other field staff.
• Review of grant agreements prepared by the grants assistants for each cleared grants.
• Keeping close watch on the budget of each grant and make sure that the estimated and the disbursed amount should match before final evaluation reports of any grant.
• Provide regular follow-up on grant-related updates from Admin/Finance Units to ensure that grant matrix is always up to date and reflecting information about all payments to the grant.
• Coordinating with the Finance department to keep track of the disbursed amount and providing relevant data to the senior management about each grant.
• Coordinate with administration and finance to ensure that grant financial data is reconciled on monthly basis
• Collect from administration and finance on a regular basis all grant payments. Update the internal and external data link files with the grant payment information and share those files with the Grants Manager and other senior management for review.
• Support and coordinate with field staff drafting for them the important documentation for the implementation of the grants such as POC Formation and undertaking certificates, Deliverables completing form, Handover forms, Quality assurance certificate etc.
• Providing deliverables and budget to the field staff for preparing internal and external addendums.
• To follow up with operations officers for timely submission of all grant related documents for efficient implementation and completion of the grants.
• Supervising the Grants Unit to maintain all hardcopy and softcopy records relating to program grants.
• Liaise with ADO and DADO elsewhere to collect relevant information for the Program database.
• Coordinate with Procurement and Contracts Department to ensure that all contracts and procurement information are collected and saved within each grant file.
• Liaise with field offices to collect relevant information and documents to ensure that the grant matrix is always up to date
• Respond to the queries of M&E department of grants in closing process for submission to the donor.
• Prior to the submission of grants for closure, ensure that all grant files (hard and soft folders and OTI Anywhere) contain all the required documents.
• Perform trouble-shooting and related tasks to ensure the smooth operations of systems.
• Maintain electronic and hard copies of the project documents.
